Oakwolf partnered with a leading health system in the Southwest that operates 19+ hospitals, over 200 clinics, and employs over 32,000 healthcare professionals and support staff. The health system generates $15+ billion in annual revenue and provides a wide range of services to approximately 7 million patients annually, including primary care, specialty care, emergency care, and advanced surgical services.

The Situation

Our client wanted to improve patient care by optimizing its Healthcare IT systems. One area of focus was the use of multiple Electronic Health Record (EHR) technologies, which they believed could be made more efficient. Despite being a long-time Cerner EHR (now Oracle Cerner) customer, our client was using over 9 additional EHR systems simultaneously, including several just within in the Revenue Cycle Management (RCM) team. The costs and challenges of managing multiple vendors and third-party devices caused problems for the IT systems teams and clinicians. To address these issues, our client decided to fully implement the Epic EHR suite of applications across the organization, despite the significant challenges posed by the size of the project and the lack of prior exposure to Epic among internal staff.

The Solution

Oakwolf Group was initially chosen as one of three partners to support this 24+ month, $100+ million Epic EHR implementation. We collaborated with the client’s high-level stakeholders before the project’s launch to discuss best install practices, resourcing needs, and project plans. Through a series of additional working sessions between several of their key leaders and Sr. Oakwolf Consultants with 15+ years of Epic experience, the client realized that base Epic certification only goes so far in preparing for a successful implementation. We developed a tailored approach for allocating resources and providing consulting assistance. Our team of 20+ principal consultants and subject matter experts became the client’s primary project partner, providing expertise to the Clinical, Ancillary, Inpatient, Training, and Revenue Cycle teams across 18+ Epic modules, to include leading several of the Epic application teams as consultants and mentors to the newly certified client FTE analysts. Through our proactive process and approach, we were well positioned to complete the multi-year, enterprise wide Epic EHR installation on time, within budget, and according to the predefined project goals of the client.
