One of the largest healthcare systems in the country operating in more than 20 states across the Midwest, Northeast and Mid-Atlantic. This healthcare system has 90+ hospitals, 5000+ physicians, 25,000+ beds, 120,000+ employees and generates over $20 billion in annual revenue.
The Situation
The client was embarking on one of the largest Epic EHR implementations ever and transitioning fully away from the legacy Cerner EHR system. The sheer size of the health system and the amount of Epic expertise required, made this implementation a particularly complex and challenging multi-year install. The client had been an early adopter (early 2000’s) of Cerner, and as a result, their internal staff had no prior Epic experience. So, the project represented significant changes around people, process, technology, capabilities, and culture. The systemwide unification of Epic was especially important to connect the clinical and financial side to improve both quality of care and the overall patient experience.
The Solution
Oakwolf principals were actively involved from early in the initial discovery phase, to include the resource planning process for this massive initiative. The initial phase required 100’s of external consultants over a series of 36+ month engagements. Oakwolf principals played key roles in building out and deploying large parts of the overall Epic implementation teams and capabilities across the organization. Oakwolf principals, working alongside Epic’s Professional Services and implementation teams, provided extensive support from both an infrastructure and application perspective; both on the clinical and revenue cycle side. The consulting team supported a wide range of applications, including Ambulatory, Link, Security, Bridges, Interoperability, Cupid/Radiant, Kaleidoscope and Willow. The level of expertise provided by these seasoned Epic consultants, folks with multiple full lifecycle Epic implementations under their belt, ensured that proper planning and best practices were adhered to. Their level of experience also played a key role in the training and mentoring of client FTEs, as the stated goal was to leave the health system in a better and stronger position when the consulting teams moved on. Although there were no dull moments (at times having to immediately deploy ‘tiger teams’ of senior solutions architects when the performance and availability of the system got bogged down), the project was successful for a range of reasons, including the exceptional quality and dedication of the consultants and the discipline of the ongoing engagement management for such a large implementation team.
